Visual media enquiry information
Enquiry details are used to assess whether a project is practical, what it would involve and what would need to be agreed. Information about locations, schedules, permissions, usage and creative direction is recorded so that a project can be scoped accurately rather than on assumption.

Where you voluntarily supply information about photography, video, editing, print, framing, creative direction, projects, locations, permissions, consent arrangements, usage requirements or delivery, it is recorded as part of the project file. This includes:
- Usage rights and permissions acknowledgements submitted through the enquiry form
- Project scope and outcome acknowledgements submitted through the enquiry form
- Details of venue, organiser or employer permissions you tell us about
- Consent and model release arrangements relating to people appearing in the work
- Safeguarding requirements notified to us by a school, club, venue or organisation
This information exists so that the project is carried out within the permissions that actually apply, and so there is a record of what was agreed.
Photographs and video of people
Photographs and video of identifiable people are personal data. Where we produce such material as part of a project, it is handled in line with the agreed project terms and the consent arrangements in place.
If you appear in photography or video produced by us and wish to discuss how it is held or used, please contact us using the details below. Where material has already been supplied to a client and published by them, that client may also hold responsibilities in respect of it.
Data retention
- Enquiries that do not proceed — correspondence is normally retained for up to 24 months, so that we can recognise a returning enquiry and refer back to what was previously discussed.
- Projects that proceed — records relating to agreed work, including scope, permissions and delivery, are retained for as long as necessary for the project and then for a further period appropriate to our legal and accounting obligations.
- Financial records — retained for the period required by UK tax and accounting law.
- Cookie preferences — stored in your browser until you clear them or they expire.
Information no longer needed is deleted or securely disposed of.
Security
We take reasonable and appropriate measures to protect personal information against loss, misuse and unauthorised access. No transmission over the internet can be guaranteed to be completely secure, which is why the public forms on this website are deliberately limited and should not be used for sensitive information or private images.
Your rights
